The Inventory report is a complete record of the fixtures, fittings and décor of
a property. The report provides a methodical, accurate account of the property from
the front entrance through each room. High resolution, date & time stamped digital
photos of each room provide a quick overview and combined with a detailed description
of the condition and contents such as furniture, appliances, decorations, curtains
etc, provide a fully comprehensive inventory report. In the case of part or fully
furnished properties, all items of soft furniture are checked to ensure compliance
with FFR Labelling – The Furniture and Furnishings (Fire) (Safety) Regulations.
Any furnishing that does not comply is brought to the attention of the agent / landlord
for their action.
This inventory report is agreed and signed by the tenant at the beginning of the
tenancy and is used at the end to check for any changes, deterioration and other
dilapidations.
A check in report compares the inventory against the contents and condition of the
property on the day the tenancy starts, to ensure nothing has changed since the
inventory inspection. In order to conduct a check in the original inventory report
must already be prepared, each item on the original inventory will be checked with
presence/absence and condition noted. All keys and meters are also checked and the
readings are recorded. The tenant will then sign the report to confirm its accuracy.
*Please note that on the day of check in the property must be in a suitable condition
to be let and all maintenance and cleaning should already have been carried out.*
An interim inspection is made part way through a tenancy and looks at the condition
of the property, its contents and any issues there may be. It can also be used to
identify if any of the property requires repair, restoration or maintenance or is
in need of decoration. Photographs are also taken and included in this report.
A check out report is compiled at the end of the tenancy, once the tenant has moved
out and prior to any cleaners, builders etc, entering the property. We compile a
report that goes through the condition and contents of the property against the
original inventory and check in reports. We will assign liability for these changes
to either tenants or the landlord (maintenance) or to fair wear and tear. The report
also notes final meter readings, records keys returned and takes forwarding contact
details for outgoing tenants when possible. Keys are then returned to letting agent.
Date and time stamped photographs are taken of all rooms and a selection included
in our reports.All photographs are stored on file and a full audited copy can be
put on DVD if requested for reference.

We fully understand that it may not always be possible to meet us at the property
due to other commitments and busy periods. We can collect keys from Letting Agent
offices or Private Landlord if required, complete the inspection and return them
when finished.
